Quick answer

Your Instagram profile is a one-screen landing page. A visitor who arrives from a Reel, an ad or a friend should understand within five seconds what you do, where you work, why to trust you and how to contact you. Fix the name field, the bio, the profile photo, the link, three to six highlights, the pinned posts and the contact buttons in that order, then check that WhatsApp opens correctly on a phone. Judge the result by profile taps on contact buttons and messages received, not follower count.

Why the profile matters more than the latest post

Most people who see a post do not buy. The ones who are interested tap your name and look at the profile, and that is where the decision is made. If the profile looks abandoned, confusing or generic, you lose a warm visitor you may have paid to attract. If it answers their questions quickly, the same visitor sends a message.

This checklist is for service businesses and clinics in the UAE and Saudi Arabia. It assumes a business account and that you already have some content; if you need ideas for posts, see our guide to Instagram Reels for service businesses.

A four-line bio formula

  1. Line 1, who and what: the service and the customer. Example: Villa and apartment deep cleaning.
  2. Line 2, where: the areas you cover, stated plainly. Do not claim to cover a whole country if you do not.
  3. Line 3, proof you may state: a licence number if you are comfortable displaying it, years in operation only if verifiably true for your business, or a specific working method. Do not use unverifiable superlatives such as best or number one.
  4. Line 4, the action: message us on WhatsApp for a visit time.

Write the bio in the language of the customers you most want. If you serve both Arabic and English speakers, choose the main language for the bio and put the second language in highlights or the first line of captions rather than squeezing both into one bio. A clean, readable bio beats a clever one.

The link and the contact buttons

A visitor who taps the link wants to do one thing. Send them to a page that has that one thing, for example your WhatsApp chat, a quotation page or a booking page. If you must offer several destinations, keep it to three and put the most important first. Avoid linking to a homepage that needs another minute of searching.

For WhatsApp, use a link with a pre-filled message such as: Hello, I would like a quotation for [service] in [area]. This helps you identify the source and shortens the first reply. Test it on both Android and iPhone. The routine for handling messages once they arrive is explained in building a WhatsApp lead follow-up system, and the page that sits behind the link should follow the principles in the landing page copywriting checklist.

Also compare the options in website forms versus WhatsApp lead capture before deciding where the link should go.

Highlights that sell without selling

Highlights are saved stories that sit under the bio. Treat them like a menu. Six is a good maximum for a small business, each with a short cover that uses the same colour and a simple icon.

  • Services: one slide per service with a photo and one line.
  • Areas: a map image or list of neighbourhoods you cover.
  • How it works: three to five steps from message to finished job.
  • Questions: the five questions you answer every week.
  • Reviews: screenshots of real Google or customer messages, with permission and with names hidden if requested.
  • Offers or availability: only if you keep it updated.

For clinics, apply the advertising rules of your health authority to every highlight. Avoid before-and-after images, outcome promises and patient identifiers unless the rules clearly allow them.

Pinned posts and the first nine tiles

The grid is what a visitor scrolls first. Look at your first nine tiles on a phone and ask whether a stranger could say what you sell. A good mix is three explanatory posts, three proof posts (real jobs, team, place) and three posts that lower friction (how to book, what to prepare, price logic). Pin the three that do this best. Remove or archive posts that are off-topic, old offers that have expired, or low-quality images. Archiving keeps them without public display.

A scoring sheet you can use today

Open your profile on a phone you do not normally use, ideally logged out, and score each line 0 (missing), 1 (partial) or 2 (clear).

QuestionScore
Can a stranger tell what you sell within five seconds?0, 1 or 2
Does it say where you work?0, 1 or 2
Is there proof that is real and checkable?0, 1 or 2
Is the next step obvious and does it work?0, 1 or 2
Do highlights answer buying questions?0, 1 or 2
Does the grid look current and consistent?0, 1 or 2

A score of nine or more out of twelve means the profile is ready for traffic. Below that, fix the lowest scoring lines before spending on ads or boosted posts. The testing approach in Meta ad creative testing assumes a profile that passes this check.

Worked example: rewriting a weak profile

The business below is invented. It shows how a few changes turn a decorative profile into a useful one.

Name fieldSparkle CoSparkle Co | Home deep cleaning, Sharjah and Ajman

None of these edits needs a designer. They take about an hour, and each one removes a reason for a visitor to leave.

A fix list for the first week

  1. Day 1: audit using the scoring sheet and write the new bio.
  2. Day 2: update the name field, the category, the link and the contact buttons, then test each on two phones.
  3. Day 3: build or rebuild three highlights, starting with services and how it works.
  4. Day 4: archive off-topic posts, pin the three strongest.
  5. Day 5: write the first-reply message template and share it with whoever answers messages.
  6. Day 6 to 7: leave it alone and note how many profile taps and messages arrive. Compare with the week before.

Measuring the effect

Instagram's own insights show profile visits and taps on contact buttons and links; the names of these metrics change over time, so look for the current equivalents. Record them weekly alongside the number of WhatsApp messages and ask each new customer how they found you. If profile visits rise but taps stay flat, the profile or link is the problem. If taps rise but messages stay flat, look at your reply speed and the first reply. For the wider measurement picture, see marketing KPIs for service businesses and conversion tracking.

Mistakes to avoid

  • Switching to a personal account because the business tools feel complicated; you lose insights and contact buttons.
  • Buying followers. They do not enquire and make your numbers meaningless.
  • Putting a phone number in the bio that nobody answers.
  • Letting messages wait for a day. Slow replies undo the best profile.
  • Copying a competitor bio word for word.

How we work at ZED

Profile and content set-up sits within our social media service, and we connect it to your website, Google Business Profile and tracking so the same message appears everywhere. Our case studies cover AC services, cleaning, moving, furniture showrooms, medical marketing and real estate, and we describe what happened in them without inventing figures here. When we review a profile we start with the audit above, then agree a short list of changes. We do not promise follower growth or a number of enquiries.

Get your Instagram profile reviewed

Send your profile name, your services and the area you serve. We reply with a preliminary list of changes, with no promise of a fixed number of enquiries.
